Audit Update
Auditors are still reviewing our data. Analysis to be completed in November with a written report submitted in January 2003. CMS central will review report prior to becoming public. Looking to locate data as to what prompted us to move in the direction of PeopleSoft. William A. wrote a memo that might be useful.
Budget
Consultants will continue on through November 2002 due to the clean up and finalization that is needed after cutover. Lorraine F. will get cost information to Bill T. who will share with members of the committee.
Cost of needed software: CashNet ($190K), Black Board Expansion ($10K), Sevis ($47K/$25K tax software), Tech Support ($118K), Darwin ($120K), and Student Recruiting ($100K). Maintenance cost on Cashnet is $31K per year. Darwin is already covered.
It has been suggested that the Navy Project can possibly cover Black Board portal software. Black Board is discussing use across the CSU system, which should be in place at the end of November. Cost of support is an issue. $10K for Black Board could be put on hold until next year. William A. will look at the Navy project for licensing.
Lorraine F. will provide a cost report at the next meeting.
Lydia O. is questioning how Extended Learning students will be incorporated. Charge back per head from Extended Learning needs to be discussed.
Bill T. will present a cost analysis for Extended Learning.
Lorraine F. will bring all maintenance cost to the table – PeopleSoft, Oracle, Portal.
Cashnet’s maintenance is included in implementation. They have a third party site that handles their payments and charges, which incurs additional cost. Students can elect check on line, which has no charge. Lorraine F. has a meeting with the company regarding the fee.
Jerry P. requested a meeting regarding the schedule software implementation. Attendees are: Lorraine F. Jerry P., Lydia O. Kim N.
CO wants a point person for Sevia, this should be Elsa Ochoa-Fernandez.
Human Resources Status
Discussion regarding bonuses and stipends took place.
Recruit Workforce Resumix product has on-line capability that works with PeopleSoft. This was presented at HEUG.
Campuses that have recruit portion implemented are using records (statistics, letters to applicants). Other campuses do not populate components such as, work history, experience, and education, important portions to CSUSB that would bring great value for our campus. We do not want to implement unless we have all these functions. More information needs to be brought back to the table.
Financial
At the last CABO meeting, it was stated that SLO hired IO to write a program to balance accounts via MS Excel. Nvision is the product being used. SLO also has software that allows for input of student time on line to help track work-study.
