On the 020 BBA report, you have to go online (Brio Portal) to get reports. Why can't we just get the report without going online? I have been told that the Budget Office doesn't have to go online.
You are correct, the Budget Office and a select number of offices do not have to go online to receive their reports through Brio Portal. In order to print reports without going to Brio Portal requires additional software installations or IP address information for networked printers. San Bernardino did not have the support structure to maintain over 500 workstations with the required software installations at the time of implementation.
During the implementation, Brio Portal was selected by the Chancellor's Office as the Report Distribution tool. It was to provide not only reports readily available on the desktop, but also burst the reports by department. The bursting capabilities is still being tested and validated.
As the campus moves toward the web enabled versions of PeopleSoft, the need for Brio Portal will be only required for the bursting capability. The campus will revisit report distribution at that time.
When journaling down (in ledger inquiry) for a PO, the tax is not in the journal down. So I have to go to manage PO to get tax information (i.e. the PO line may be $1,000, when you journal down and have 4 PO's that equal $900, then have to go to manage PO to get the tax amount on each PO line). Will tax ever be included in journal down?
No, the tax will never be available in the purchase requisition. This is a PeopleSoft business process that was not considered for customization. The Chancellor's Office will not make this customization and thus the campus will need to use the software as delivered, without taxes at the requisition level.
Will HR and Finance modules ever be on the same version so we don't have to go in and out?
Yes, the campus will be moving toward the web enabled PeopleSoft modules for HR and Finance. This convergence will not happen until July 2003. We are schedule to move to HR in the Fall of 2002 and by July 2003 for Finance.
What about a data warehouse?
The campus is very interested in pursuing data warehousing of HR, Finance, and Student information. We do not have a project scope identified as yet, but it is being discussed at this time. With the impending budget reductions, this may prevent the campus from moving as quickly as we would like on providing this functionality to the campus.
Will the new HR system address the need for reports and information at the department level that is lacking now? Can a reporting database, that is updated each night, be created?
It is the intent that reports be developed for departments that would meet their needs, as well as, provide query capability to departments. Please communicate The Chancellor's Office is still working on a project that would provide a Reporting database to the campus. Once this database is made available and Query training classes can be scheduled, departments will be able to query their own data as needed, beyond the reports available.
Why are we using "standard budget" instead of "controlled budget"?
During implementation of Finance 7.5, the Finance project team decided to use the standard budget instead of controlled budget due to the data conversion needs. We were on a very tight timeframe and could not accomplish on the table configurations and data conversions to meet the controlled budget requirements. Since the implementation, we have discovered some advantages of the controlled budget. The Finance project team will revisit this issue during the upgrade to Finance version 8.4 (October 2002 - June 2003).
Can a query be developed or an existing one modified to include monthly mileage expense and the name of the person incurring the expense? We hire over 100 tutors that travel monthly and the current queries do not connect those two items.
It has been accomplished. Use SB_AP_QUERY. Other queries to run that will assist with reconciliation:
SB_BDGTS_ACT_JRNL_LNS_SPEC_VAL - gives all transaction detail for requested parameters.
SB_PO_ACTIVITY_FOR_A_COA - gives Purchase Order activity for requested chart field string.
SB_AP_QUERY - gives Accounts Payable voucher activity for requested parameters.
